Conditions of participation "Workation for Family"

1. general participation requirements

Families with at least one and a maximum of three children between the ages of 6 and 16 are eligible to participate.
At least one accompanying person must be of legal age and have parental authority for the participating children.
All participants must be in good health. In particular, they must not have any infectious diseases. The organizer reserves the right to request a medical certificate in case of doubt.

2. registration and selection procedure

Applications must be submitted by 30.06.2025 using the application form on the website.
A maximum of 14 families will be selected. The selection will be made on the basis of the information provided in the application form in order to ensure the best possible organization of the event.
There is no legal entitlement to participate.
The selected families will receive feedback by 10.07.2025 as to whether they will receive a fixed place for the "Workation for Family" from 27.10.2025 to 31.10.2025 in the Almenland Nature Park or which waiting list place they will take.

3. event content and location

The "Workation for Family" combines work, professional exchange and supervised leisure activities for families.

Duration: 27.10.2025 - 31.10.2025
We expressly reserve the right to make changes to the schedule or program and to cancel the event for good cause (e.g. force majeure, unforeseeable events, official orders).

4. scope of services

The participation fee includes:

  • Accommodation
  • Full board
  • Supervised children's activities (18 hours in total)
  • Access to co-working spaces
  • Workshops and keynote speeches
  • Leisure activities for families

5 Participation fees and terms of payment

The participation fees can be viewed on the official announcement page www.almenland.at/workation and depend on the number of children and the chosen accommodation.
A deposit of 30% of the total amount is due after confirmation of the fixed place. The place is only bindingly reserved once the deposit has been received. The balance must be paid no later than 30 days before the start of the event.
If the deposit is not paid on time, the fixed place expires and the next family on the waiting list moves up. No separate reminder will be sent.

6 Cancellation conditions & refund

  • Cancellation up to 60 days before the start of the event: free of charge
  • 59 to 30 days before the start: 150 € processing fee
  • From 29 days before the start: 30 % of the participation fee

In the event of cancellation due to illness, goodwill arrangements may be considered. However, there is no legal entitlement to a refund.

7 Liability and insurance

Participation is at the participant's own risk.
The organizer assumes no liability for personal injury or property damage, loss or theft, unless these are due to intentional or grossly negligent conduct on the part of the organizer.
Parents are liable for their children.
Participants are obliged to ensure sufficient accident and liability insurance cover for all family members.

8. rules of conduct and house rules

All participants are expected to show consideration for other families and guests.
Alcohol is strictly prohibited at all children's activities.
Accommodation and event rooms must be treated with care. Participants or their legal guardians are liable for any damage caused.

9. emergency regulations

First aid equipment is available on site.
The organizers can be contacted by telephone during the event (the exact contact details will be sent with the registration confirmation).
At check-in, all participants will be informed about safety instructions and emergency measures.

10. changes or cancellation of the event

The organizer reserves the right to change the program or cancel the event for good cause.
In the event of cancellation, any payments already made will be refunded in full. Further claims, in particular claims for damages, are excluded.

11. consent to participation

By registering, participants accept these conditions of participation as binding.
When registering online via the inquiry form, consent is given by entering the full name and clicking the "Submit" button.

2. purposes of data processing

The personal data collected during registration and participation will be processed exclusively for the following purposes:

  • Selection of participants and organization of the event
  • Accommodation and catering planning
  • Organization of childcare
  • Implementation of workshops and leisure activities
  • Communication with the participants
  • Billing and payment processing

3. categories of processed data

The following data is processed:

  • Names and contact details of parents/guardians
  • Professional activity of the parents
  • Names and ages of the children
  • Special needs (e.g. allergies, intolerances)
  • Workshop and input requests
  • Payment and invoice data

4. legal basis

The data processing takes place on the basis of:

  • Art. 6 para. 1 lit. b GDPR (contract fulfillment: registration and execution of the event)
  • Art. 6 para. 1 lit. a GDPR (consent: in particular for photo and video recordings)
  • Art. 6 para. 1 lit. c GDPR (fulfillment of legal storage obligations)

5. disclosure of the data

Personal data will only be passed on to third parties if this is necessary for the organization of the event. This applies in particular to

  • Lodging establishments
  • Organization and administration
  • Children's program provider
  • Coaches and lecturers

It will not be passed on to third parties for advertising purposes.

6. photo and video recordings

Photos and videos may be taken during the event. These are used for public relations purposes and may be published on the website, in social media or printed materials.
Participation in photo and video recordings is only possible with prior written consent, which can be revoked at any time with effect for the future.

7. storage period

Personal data will generally be deleted six months after the end of the event, unless there are longer statutory retention periods.
Photos and videos published on the basis of consent are stored until consent is withdrawn.

8 Rights of the data subjects

Participants have the right:

  • to information about the stored data,
  • the correction of incorrect data,
  • to erasure or restriction of processing,
  • to data portability,
  • and the right to withdraw consent at any time (this applies in particular to the use of photos and videos).

Inquiries can be sent in writing or by e-mail to the person responsible named above.

9. right of appeal
